Description
Purpose Statement
To support Afrirent's strategic growth objectives by coordinating and managing the end-to-end tender, bid and proposal process to secure new business opportunities. The role is responsible for overseeing, coordinating and supporting all tender management activities to ensure the delivery of high-quality, compliant and competitive bid submissions that meet operational, financial, legal, regulatory and reputational requirements. The incumbent will ensure that all submissions are completed accurately, align with organisational standards, and are delivered within prescribed deadlines while contributing to continuous improvement of the bid management process.
Education Requirements
Minimum Requirements
Diploma (NQF level 6) in Business Administration / Transport / Fleet Management
Ideal
Degree (NQF level 7) in Business Administration / Transport / Fleet Management will be advantageous
Legal Requirements
Detail
Association of Proposal Management Professionals (APMP) Certification will be advantageous
Experience
Minimum
6 years’ experience managing tender processes /corporate sales/marketing support
2 years’ supervisory experience
2 years’ project management experience within a tender management environment

Strategy Implementation
Develops an action plan for all tenders
Designs, implements and continuously reviews an approved internal tender and project process that includes:
Quality management
Attention to detail in line with mitigating risks
Meeting client requirements
Drafts and maintains bids and tenders policies and procedures
Conducts research to identify new business opportunities in line with Afrirent’s business strategy
Bids and Tenders Management
Leads the bid and tender activity at each stage of tender projects by gathering technical information from internal departments to compile and ensure a high-quality bid submission
Participates in briefing and clarification sessions to further understand tender requirements
Reviews and submits high quality winning proposal documents which includes:
Producing, coordinating, and editing the written content
Pre-qualification documents (focusing on strong fleet management understanding)
Performance metrics
Defining a strong ‘opening position’ to present Afrirent favourably
Capability statements
Expression of interest documents
Manages timeous tender / bid submissions by clearly communicating and setting the direction for all internal and external stakeholders
Coordinates project roles and responsibilities to ensure that the broader team delivers timeous, accurate and high-quality proposals that are customised to meet the needs and expectations of internal and external clients
Reviews all documents to ensure that final submissions meet tender specifications, approvals, and deadlines
Attends to and resolves queries that may arise and escalates when needed
Maintains an accurate database and tracks the statuses of submissions.
Governance, Compliance and Reporting
Maintains all required standards and compliance in the compilation and submission of bids and tenders.
Complies with all legislative requirements in respect of tenders and negotiations
Adheres to all to all Broad-Based Black Economic Empowerment (BBBEE) and employment equity (EE)a standards, contractual requirements and service level agreements (SLA’s)
Creates and submits tender submission and bid progress feedback reports
Achieves an average of 80% compliance on both internal and external International Organisation for Standardisation (ISO) audits conducted
Budget Management
Develops the annual Departmental budget
Monitors expenditure in line with the approved budget and contracts/service level agreements on an on-going basis
Ensures strict adherence to the approved budget
People Management
Manages the unit in line with company policies
Fosters a suitable and supportive environment conducive to staff development and the achievement of Departmental objectives
Implements staff development and training to achieve the unit and organisational objectives
Implements performance management and monitors the performance of subordinate staff
Participates in the recruitment and selection of subordinate staff
